Job Summary

Seneca Park Zoo Society inspires our community to connect with, care for, and conserve wildlife and wild places. The Education and Programming & Conservation Action Departments promote this mission by engaging people of all ages in interactive programs. The Office Manager provides support and customer service to program clients. Support includes oversight of the financial and program registration processes for both departments and ensures quality control of data tracking, management, analysis and reporting. Maintains and performs all aspects of office administration. Work is performed in an open-air environment with high noise level and foot traffic activity.

Duties

  • Customer Service: Courteously handles customer inquiries and responds to messages in a timely manner. Serves as central point of contact for SPZS program inquiries. Enthusiastically provides information and details about program opportunities to potential clients and customers and directs questions to staff as needed. Schedules and coordinates birthday party reservations, including handling customer inquiries, processing requests, scheduling parties and resources, ordering supplies, and invoicing. Collaborates with the Lead Birthday Host in preparing parties.
  • CRM and Scheduling Management: Ensures the confidentiality and security of data. Takes part in program reservation processes to ensure billing, scheduling, and staffing are correct.
  • Financial Accounting: Achieves financial objectives by assisting with preparation of annual budget, analyzing variances, and initiating corrective actions. Invoicing of programs and seek payment for past due invoices. Provides monthly and annual accounting reports. Assist in reviewing monthly financial reports from Finance Department for accuracy when needed. Completes, processes, and tracks records of all department purchase orders. Completes daily and weekly deposit records, ensuring accuracy of payment amounts and account allocations. Ensures departments’ monthly close-out report is completed accurately and on-time.
  • Office Management: Assist in reinforcing and follow policy and procedural changes to develop and improve operational efficiency. Maintains a safe working environment by communicating and coordinating maintenance needs. Monitors and manages office supplies, maintains inventory control, and places orders with vendors as needed to maintain proper inventories according to office budgets.
  • Support to Department Directors: Provides reports as needed. Authorizes payroll entries when needed. In the absence of both departmental directors, may act in their capacity with approval.
  • Other Organizational Duties: Assists with Zoo events as needed including Zoobilation, ZooBrew, and others. Serves as backup for other Zoo Society administrative staff as needed. Cultivates good working relationships with all other Society departments for collaboration as needed. Learn and adapt to new software as needed. Other duties as assigned.

Qualifications

Educational Requirements

  • Associates degree in Business/Office Administration or equivalent.

Experience Requirements

  • Minimum four years of experience in office administration.
  • Previous experience in a customer service role with proven success.
  • Previous experience utilizing Office 365 products and other office tools.
  • Knowledge of Salesforce and Humanity preferred.
  • Must possess a valid NYS driver’s license.
  • Ability to sit at a desk for long periods of time.
  • Ability to lift up to 40 pounds.
